Who may order a key, where blanks live, and how a lost key dies
Key control is a written habit. A restricted keyway, a signature card, a cabinet, and an issue log are the tools. The policy is written in sentences a new manager can follow. Blanks are separated from cut keys. A signature is required. A lost-key step is defined before anyone needs it. A drawer of blanks, no log, a master on a personal ring, and verbal approvals are the opposite of a program.
Start this when more than a handful of people hold keys and you are tired of not knowing which ones. A one-time rekey without a policy is the rekey service. Bring the names of who may approve a key, not every keyholder's life story.
Signature cards, issue logs, and the verbal approval that is not a policy
The deliverable is the written policy, separated blanks, a signature step, and a lost-key step. Cutting a pile of keys with no names is not the program. The policy and the restricted keyway are the two references. We do not agree to be the unofficial second signer with no record.
Small associations in DC and property offices in Maryland often run on memory. Memory quits when the person quits. The log can be a notebook if it is actually used. We would rather see a plain notebook than a software login nobody opens. Virginia branch offices with a shared master on a carabiner get that key pulled into the policy or taken off the master.
Frequent questions
What does a lost-key step say, in practice?
Who is told, which cylinders are changed, and how the old number is marked dead. 'We will think about it' is not a step. The sentence is written before the first loss.
Can blanks stay in the same drawer as the log if the drawer locks?
Only if access to that drawer is as tight as access to a cut key. A locked drawer that six people open with a shared office key is not separation.
Do you require a restricted keyway for the policy to matter?
A policy on an open keyway still helps, and a hardware store can still copy the key. We say that out loud. Restriction is what makes the signature card physically meaningful.
Who signs when the usual approver is away?
The alternate named in the policy. A verbal 'she said it was fine' is the approval we will not cut from.
