Unit keys, common doors, and a turnover list a small portfolio can keep

Property-manager programs build a unit list, separate common-door hardware from unit cylinders, schedule turnovers, and keep a log. A closer on a common door is part of the same portfolio if that door no longer latches. One key for everything, no turnover list, an ignored common door, and verbal key loans are the habits the program replaces.

This is for a small portfolio, not a single apartment and not a commercial master-key design session. Bring the unit count and say which doors are common. If you do not know, the first visit is the list, not a box of cylinders.

Closers on the common doors, and the one-key habit that has to stop

The list, separated common doors, a turnover rhythm, and a log are the product. Legal notices to tenants are not. The key log and a turnover checklist are the papers we leave. We do not loan a common-door key with a handshake.

Small DC portfolios mix a row house and a condo unit and then use one keyway for both. Common lobby cylinders stay off the unit change keys. Maryland and Virginia scattered houses add garage personnel doors to the turnover list so a departing resident does not keep the alley. The closer on the shared entry is written into the same checklist if it is the reason the lobby stands open.

Frequent questions

Why can't one key open the units and the lobby?

A lost unit key would then open the lobby, and a turnover would mean rekeying the whole building. Common doors get their own cylinders. Unit keys stay in the unit.

What does the turnover checklist actually contain?

The openings that change, the keys to collect, the keys to issue, and whether the common door was touched. A checklist that says 'rekey' and nothing else is how the alley door is forgotten.

Do you handle notices and possession?

No. You tell us when authority to change the unit is already settled. We change hardware. We do not decide who may live there.

Where does the key log stay between turnovers?

With you. We can start it. We do not become the only record of who has a lobby key. A log we alone can see is not your program.
